From booth design to branded swag, every element of your trade show presence needs time to shine. The earlier you plan, the more polished (and stress-free) your experience will be.

⏰ 6 Months Out: Strategy & Booth Design

  • Set Goals: Are you looking for leads? Brand exposure? Retail buyers? Get clear on your "why" before you plan the "how."
  • Secure Booth Space: Lock in your location early for the best placement.
  • Start Booth Design: Whether you're investing in a custom build or reusing components, this is the time to start mockups, layout planning, and gathering quotes.
  • Plan Your Messaging: What do you want your booth to say? What’s the story you're telling?

💡 Pro Tip: This is also the ideal time to loop in your brand, sales, and operations teams so you’re aligned on look, feel, and logistics.


🛠 3–4 Months Out: Production Begins

  • Finalize Booth Design & Place Orders
    Custom booths, backdrops, and lightboxes can take 4–8 weeks depending on complexity.
  • Order Large Signage
    Think:
    hanging signs, tension fabric displays, pop-up walls, and backlit elements.
  • Start Promotional Item Planning
    Identify swag that aligns with your audience and goals. Higher-end items often have longer lead times.
  • Book Services
    Flooring, rigging, AV, and internet if not included in your booth package.

👕 2 Months Out: Apparel & Collateral

  • Order Team Apparel
    Coordinated polos, jackets, hats, or branded jumpsuits—make sure your

  • Design & Print Collateral
    Think sell sheets,
    business cards, QR code signage, postcards, and spec sheets.
  • Place Final Swag Orders
    Don’t wait! If you’re customizing packaging or doing
    influencer-style kits, allow extra time for proofing and fulfillment.

📦 1 Month Out: Pull It All Together

  • Ship Booth Materials
    If you’re using advance warehouse delivery (recommended), be sure to label everything correctly and meet deadlines.
  • Build Sample Packs or Kits
    If you’re doing drop-shipped swag to VIPs or media post-show, get those kits assembled now.
  • Prep Giveaways & Storage Plan
    Decide how swag will be displayed and stored during the show. (Bins? Baskets? Branded shelves?)

🧳 1–2 Weeks Out: Showtime Prep

  • Pack Emergency Supplies
    Extra tape, chargers, scissors, zip ties, Sharpies—don’t skip these.
  • Do a Final Run-Through
    Meet with your team to walk through lead capture, product demos, and talking points.
  • Confirm Everything Has Arrived
    Track deliveries to the advance warehouse or show site. Call carriers to confirm.
